How to Build a Workflow
Creating workflows in the platform enables you to automate and streamline interactions with prospects and contacts. Workflows are essential for guiding prospects through a series of automated steps, effectively managing them and enhancing efficiency. This guide will walk you through the process of building a workflow, from start to finish, using the platform's tools.
Getting Started with Building a Workflow
To start building a workflow, navigate to the “Workflows” tab and select the “Create” option.
Here, you can choose to either build a workflow from scratch or use one of our predefined templates. Begin by choosing a template or the “Create from Scratch” option.
Next you will be prompted to give your workflow a name and a description for your reference within the platform.
Understanding Workflow Components
Workflows consist of three main components: Triggers, Engagement, Actions, and Conditions. By combining these elements, you can create custom workflows that meet your specific needs.
- Triggers: Initiate the workflow and set off a specific sequence. Examples include a prospects reveal trigger or a list trigger.
- Engagements: Determine how you will interact with contacts in the workflow.
- Actions: Define the steps you want to take with your contacts, such as sending them to HubSpot or adding them to a cadence.
- Conditions: Check whether a contact meets specific criteria before proceeding to the next step.
Building Your Workflow
To start building your workflow, simply drag and drop the triggers, actions, and conditions you want to use into the workflow canvas.
Connect these elements using the arrow icon to create the flow. When a contact passes through your trigger, they will move on to the next action or condition in the sequence. This process continues until they complete the journey or fail to meet a specific condition.
Configure each step by clicking on the element to reveal a pop-up with relevant settings, and fill in the details as required.
Managing Your Workflow
Once you’re satisfied with your workflow, you have several options.
- Save as draft if you wish to continue working on it later.
- Save draft and exit allows you to save your progress and exit the workflow canvas. Save as template lets you save the workflow configuration for future use.
- Exit without saving if you prefer to leave without saving changes. If your workflow is ready to go live, you can publish it to activate the workflow according to your configurations.
By following these steps, you can build and manage workflows effectively, ensuring a structured approach to automating your marketing and sales processes. Workflows allow you to handle interactions with prospects efficiently, freeing up time for more strategic activities and improving overall efficiency.
