How to Manage Your Workflows Drafts
Welcome to our guide on how to manage your Workflow Drafts. The Workflow Draft tool offers a comprehensive view of all your workflows, allowing you to manage them more effectively in one centralised location. This guide will walk you through the key features and functionalities of your Workflow Drafts, helping you streamline your workflow management process.
To get started, navigate to the “Workflows” tab and select the “Draft” option. The planner provides a detailed overview of all your workflows, including workflow details, previews, and management options.
First, you will see the workflow details, where you can get a quick snapshot of all your planned workflows, including the workflow name and the date it was created. Next, you can view a preview, which gives you a snapshot of how the workflow looks and the elements it includes.
You also have the option to reassign the workflow to a different owner using the "Assign To" dropdown menu. The status feature allows you to control the workflow’s progress through different stages before launching. This feature works in conjunction with the owner, sending notifications if a workflow requires approval, needs edits, or is approved.
To start customising your workflow, use the "View and Edit" option, which takes you directly to the workflow canvas where you can add, edit, or remove elements as needed.
For additional actions, click the ellipsis icon. This opens up options such as editing the workflow’s name and description through the "Edit Details" option, deleting the workflow if it's no longer required, or archiving it to keep an updated view of your active workflows. Archiving hides the workflow from the list but it can be found again by adjusting the filters. You can also use the "Duplicate" option to quickly create a copied version of your workflow in the canvas builder, including all elements and settings.
The Workflow Draft area also allows you to leave comments on the progress of your workflow creation, which is useful for collaborating with other team members on updates and changes. To add comments, simply click the comment icon and type your notes into the provided box. All users with access to this section will be able to see the comments associated with the workflow.
Lastly, the planner includes a filtering option. You can toggle the filters on to switch between different statuses, owners, and creation dates, making it easier to find and manage your workflows.
With the Workflow Drafts, managing your workflows becomes efficient and organised, enhancing your ability to collaborate, customise, and control your workflows effectively.
